Eligibility Criteria
• Ability to provide all needed documentation
• Ability to provide a detailed event plan
• Ability to follow all facility rules and use conditions
• Application is at least 14 days in advance
• For ongoing events the ability to review agreement every quarter with SFA
Not Eligible:
• Groups/Events promoting or facilitating substance use, alcohol, violence or • gambling
• Activities requiring excessive oversight
• High-risk sports without proper supervision
• Events charging admission without prior approval
• Activities outside of approved operating hours
• Loud, disruptive, or unsafe events
• Groups/Events unable to comply with the documentation requirements and • facility rules/use condition
• Weddings
• Events involving animals
Facility Rules and Use Conditions
General Rules:
• The facility must be left clean and damage-free
• All equipment must be used according to manufacturer’s instructions and returned to its original location
• Children must always be under the supervision of a responsible adult
• No fire or open flames will be permitted
• No glitter, sand, spray paint or excessive staining substances are permitted
• Noise levels must stay within community standards
• No alcohol or drugs are permitted on premises.
• Smoking is allowed in approved areas only in compliance with State of Alaska Law
• No weapons of any kind are allowed on the premises
• No individual convicted of a sexual offense is allowed on SFA premises
• All law governing confidentiality must be maintained
• All parking must be in designated parking spaces
• 5 mph speed limit on premises
• Compliance with all State and Federal laws is required
• Compliance with all SFA facility emergency notifications and evacuations
Terms of Use:
• Event must end by 10pm unless otherwise approved in advance
• Renters are responsible for all attendee conduct
• Facility must be restored to pre-event conditions
• Violations of terms of use and/or rule may include additional cleaning charges, loss of deposit, prohibit future rental eligibility
Insurance & Liability:
• Renter assumes full liability for participants during the rental period
• Certificate of Insurance (COI) required for space rental
• Set Free Alaska is not liable for lost or stolen items

Note:
-Set Free Alaska reserves the right to waive fees for partner agencies and events Set Free Alaska is sponsoring or cohosting.
-Set Free Alaska has a Nonprofit Discount of up to 50% off rental fees up. Approval is dependent on submitting appropriate outlined documentation.
-Recurring events can negotiate a discounted rate in a long-term contract. This contract will be reviewed every 6 months for continuation.
Cancellation Policy
• 100% refund if cancelled 14+ days in advance
• 50% refund if cancelled 7–13 days in advance
• No refund if cancelled less than 7 days in advance
• Weather/emergency cancellations are refunded at SFA’s discretion
Required Documentation
All renters must submit the following before the event:
• Completed short term rental/lease application form with primary contact identified
• COI with Set Free Alaska listed as additional insured
• Proof of nonprofit status (if requesting discounted rate)
• Detailed event plan (required for large groups, youth events, or sports)
• Safety/emergency response plan (for large or youth events)
• Staff/Volunteer background checks or policy on background checks (for youth-related events)
